Ending the School Year Procedures

Greetings from PraxiPower,

As always, Ending your current school year is a key process youMUST do before moving to the next year.  It is VERY IMPORTANT to close your current school year in Praxi and to “roll forward” into your new school year in the correct way.  

To help simplify this process, you will use the Session Close Prep.  All schools must complete the Session Close Prep Wizard as scheduling the End Session with a Tech is no longer the process.  

Before you cannot start your Session Close Prep you need to verify that the NEXT school year has been created.  If it has not, you will follow the instructions below (ex: Current School Year - 2025-26, Next School Year - 2026-27):

Adding a New School Year
(List | Enrollment | School Years)
  1. Click Add and Enter the School Year (YYYY-YY format)
  2. Enter Director/Principal name (optional)
  3. Enter Date From and Date To (Note: The beginning and ending date should be a 12-month period, not the first and last day of school.  Please see link above) then click Save.
***Please Note:  It is also necessary to create the following school year in preparation for next year's pre-registration (ex. 2027-2028).

To begin the Session Close Prep follow the instructions below:
(Admin | Tasks | Session Close Prep)

Closing Session Info
  1. Select Session: Set to 'Create New Closing"
  2. Session:  Select Current or Summer 
  3. School Year/Next Year:  Select the Current School Year Next Year
Point Of Contact
  1. Enter Name, Email and Cell Phone Number
  2. At this point you need to click Save changes and Refresh the screen.
  3. Select Session:  Select the Session you are closing from the drop-down menu.
  1. Click on each Step to see the Tasks to be completed.
  2. Once each Task has been completed, select Yes, No or N/A.
  3. Enter your name and click Mark Completed.
  4. Repeat these steps for each Task.
***Please Note:  Several of the Tasks can be completed during the current school year.  However, all Grades should be entered, Report Cards printed and Grades Posted to Transcripts prior to graduating or withdrawing non-returning students.
**Please Note:  If you have questions when completing the Session Close Prep, click on the Messages toggle, select the Step, enter a Subject, then enter the question.  IF the staff that is sending the message is not the Point of Contact, enter their email in the CC Email field.

Using the Session Close Prep Wizard will ensure that all steps are completed correctly.  As this is the one process in PraxiSchool that cannot easily be undone.  IF this procedure is not done correctly, you will lose very important data and also the data you enter into your new school year may have to be entered again.  We cannot stress enough the importance of ending your current session properly

Once ALL Tasks have been COMPLETED or marked N/A, select the Messages toggle and enter Completed in the Subject field.  Then Send Message.  Please keep an eye on your End Session Messages for a reply either giving you further instructions or saying that you are now in the new school year.
